Prepare a brief before a client or prospect meeting
What you get
A short brief to read before a meeting with a client or a prospect. It says who they are, what you have done with them, which issues are open, and what was decided at your last meeting, with the owner and date of each action. It ends with three questions to ask and a list of the documents used.
When your knowledge holds nothing about the organisation, Sasha says so plainly. You do not get a made-up history.
Before you start
You need access to the projects that hold your client and prospect files and your meeting records. From Claude, Sasha uses only what you can reach, so another person can get a different brief for the same organisation.
Past meetings appear in the brief when their transcripts or notes are saved in Sasha. A meeting transcript saved in Sasha is a document in the project's meetings folder.
Letters, proposals and invoices you sent appear in the brief only when a copy, or a document that mentions them, is saved in a project you can reach.
Start it
From Claude
Connect Claude to your Sasha first (Connect Claude to your Sasha). Then choose Prepare a brief before a client or prospect meeting from the prompt menu. Type the name of the client or prospect and the date of the meeting.
What Sasha does
- Searches the projects you can reach for the organisation's name, and then for the names of the people and the work that those documents name.
- Reads the client or prospect file and every saved meeting about them, to the end of each document.
- Finds your last meeting before the date you gave, and the decisions and actions from it.
- Writes the brief: who they are, your history with them, open issues, the decisions and actions from the last meeting, and three questions to ask.
- Lists the documents used.
- Says plainly when there is no earlier meeting on record, or when your knowledge holds nothing about the organisation.
Check the result
- Open the client or prospect file and the last meeting record, and confirm the open issues and the actions match them.
- If an issue was settled after the file was last updated, update the file so the next brief is correct.
- If a meeting is missing, check that its transcript or notes were saved in Sasha, then ask again and name the project.
- For a wider question about a topic rather than an organisation, use Find what we already know about a topic, with sources.
- After the meeting, see Summarise a meeting and record the decisions and actions.
Questions
What if we have never met them?
Sasha says that there is no earlier meeting on record, and builds the brief from the other documents you hold, such as a prospect file.
What happens if we hold nothing about the organisation?
Sasha says so and stops. Sasha does not write a history or a description of the organisation from general knowledge.
Why is a meeting I remember missing from the brief?
From Claude, Sasha uses only documents in the projects you can reach, and finds them by the words in them. A meeting that was not saved in Sasha, or that names the organisation another way, can be missed. The same applies to letters, proposals and invoices you sent. They appear only when a copy, or a document that mentions them, is saved in a project you can reach. Ask again and name the project or the document.
Does this change any documents?
No. This recipe only reads.
