Send bernard website enquiries and the content calendar to a Notion board
Set up website events once in chat, so bernard form enquiries and calendar entries become Notion cards, and Done or Skipped on the board updates bernard.
- Where
- Sasha chat to set it up, bernard to save the webhook, and Website events on the Notion card in Settings → Shared Drives to check it.
- Who
- A Sasha admin, or staff who can manage shared drives, together with the owner of the bernard account.
- Needs
- A Notion connection with Read and write access that can see the boards, a bernard website, and a bernard connection in Sasha for Done and Skipped to reach bernard.
What this page is for
If your website runs on bernard, Sasha can put website events on your Notion boards:
- Enquiries (enquiry and lead forms), event registrations and new contacts become new cards in the column you choose.
- Content calendar entries become cards on your Content board. When an entry moves to another day in bernard, its card changes date. When you drag a card to Done or Skipped in Notion, bernard marks the calendar entry the same way.
There is no form for this in Settings. You ask Sasha in chat, and Sasha walks you through it. For the help article, see Put our website enquiries and content plan on our Notion board.
Before you start
- Connect Notion first. See Connect Notion so Sasha can read and work with your Notion pages.
- The Notion connection must have Read and write access, and the boards must be pages that the connection can see.
- Each board needs its columns in Notion already: a board view grouped by a Status or Select property. For the content calendar, name two columns Done and Skipped, or tell Sasha which columns mean done and skipped.
- You need the owner of the bernard account, because only the owner can save a webhook in bernard.
Step 1: ask Sasha and agree to the data transfer
- In Sasha chat, ask, for example: "Send website events from our bernard site to Notion."
- Sasha shows a consent sentence. It says that each enquiry or registration card holds the person's name, email address, company and message, that calendar cards hold the entry's title, date and type, and that Notion Labs, Inc. (United States) receives and stores this data under its own terms.
- A Confirm box shows in your chat. Read the sentence and press Confirm.
Sasha sets up nothing until you press Confirm. Sasha records the consent sentence and who agreed.
Step 2: save a webhook in bernard
After you confirm, Sasha gives you a webhook address.
- In bernard, ask your bernard assistant to save a webhook to that address. Choose the events you want:
form.submittedfor enquiries and registrations,calendar.entry_created,calendar.entry_movedandcalendar.entry_state_changedfor the content calendar, contact.createdonly if you want a card for every new contact.
- bernard shows its own consent sentence about the data that leaves bernard. The account owner agrees to it.
- bernard shows a signing secret once. Copy it.
Step 3: give the signing secret to Sasha
Paste the signing secret into the same Sasha chat. Sasha stores it encrypted and never shows it again. Until Sasha has the secret, it refuses events from that website.
Step 4: choose a board for each kind of event
Tell Sasha which board each kind of event goes to, for example:
- "Put new enquiries on our Inbound board."
- "Put the content calendar on our Content board."
Sasha reads the board's view to find its columns, and tells you which column new cards go to. By default, that is the first column. A column name that does not exist is refused, and Sasha lists the real columns.
A board with no board view (for example a plain table) has no grouping for Sasha to read. Tell Sasha which property holds the columns, for example: "use the Status property".
| Kind of event | What makes it | Sasha sends it by default? |
|---|---|---|
| Enquiries | Enquiry and lead forms on your website | Only after you choose a board |
| Event registrations | Registration forms | Only after you choose a board |
| New contacts | Every new contact in bernard | Only after you choose a board (most teams leave it off) |
| Content calendar | Calendar entries in bernard | Only after you choose a board |
What a card holds
An enquiry card has the title "Enquiry from" with the person's name and company (or their email domain), and goes to the column you chose. The email address and the message go in the card's page, not in properties.
Sasha also fills these properties, only when the board already has a property of that name and type:
| Property name | Type | What Sasha writes |
|---|---|---|
| Date | Date | The day of the event, or the calendar entry's date |
| Source | Select or text | For example "Website form: Contact us" |
| Company | Text or select | The company the person typed |
| Type (or Kind) | Select or text | The calendar entry's type |
| Bernard, Link or URL | URL | A link to the contact or the calendar entry in bernard |
The company and the message come from form fields named exactly "company" and "message" on your bernard form.
Done and Skipped go back to bernard
When someone drags a Content card into the Done or Skipped column, Sasha marks the calendar entry in bernard the same way within about five minutes. With live updates from Notion turned on (see Connect Notion so Sasha can read and work with your Notion pages), it is usually faster.
This needs Sasha's bernard connection. Add bernard once in Settings → Tools → Custom MCP Servers, with "bernard" in its name. Without it, cards still arrive, but moves in Notion do not reach bernard, and the Website events section says so. See Connect third-party tools to Sasha.
Check it in Settings
Open Settings → Shared Drives, and open Website events on the Notion card. For each website it shows:
- the boards and the column for new cards,
- when the last card was made,
- how many events are waiting and how many failed, with the reason for each recent failure,
- whether moving a Content card in Notion reaches bernard, and if not, why,
- one switch to turn the website's events on or off.
To change a board, ask Sasha. You can also ask Sasha in chat: "Are website events working?"
Turning it off
Switch the website off in the Website events section. Nothing in Notion is deleted. While a website is off, Sasha refuses its events, and they are not sent again later. bernard switches its webhook off after many failed deliveries, so when you switch the website back on in Sasha, also switch the webhook back on in bernard.
Limits
- Only moves to Done and Skipped go back to bernard. Moves to other columns stay in Notion.
- Only cards that Sasha made go back to bernard. A card someone adds to the board by hand is not linked to a calendar entry.
- Deleting a calendar entry in bernard does not remove its card.
- Deleting a contact in bernard does not delete its card in Notion.
- Sasha writes only to properties that exist on the board. It never adds properties or columns.
Personal data
The cards are in Notion, so Notion Labs, Inc. (United States) holds that data under its own terms. Sasha keeps no personal data from an event after the card is made: the stored event keeps only its id, type and time. An event that failed keeps its details for 30 days, so it can be looked at or sent again, and they are then cleared. Sasha deletes the record of an event that made a card after 30 days. See Where your data lives in Sasha.
Questions
Which events become cards?
Enquiry and lead forms, registration forms, new contacts and content calendar entries. Sasha sends nothing for a kind of event until you choose a board for it. Most teams do not choose a board for new contacts, because every new contact makes a card.
How fast do cards arrive?
A card usually shows on the board within about a minute of the event in bernard.
How fast does a move in Notion reach bernard?
Within about five minutes. With live updates from Notion turned on, it is usually faster.
Does deleting a contact in bernard delete its card?
No. Delete the card in Notion too.
Does deleting a calendar entry in bernard delete its card?
No. The card stays on the board. Delete it in Notion.
Will Sasha add columns or properties to our board?
No. Sasha writes only to properties that already exist on the board. Add a Date, Source or Company property in Notion if you want Sasha to fill it.
I moved a card to In progress. Why did bernard not change?
Only moves to the Done and Skipped columns go back to bernard. Moves to other columns stay in Notion.
The section says moving a Content card does not change bernard. Why?
Sasha has no bernard connection, or has more than one. Add bernard once in Settings → Tools → Custom MCP Servers, with "bernard" in its name.
